Start with your organisation
Use the administrator instructions supplied for your organisation. Check the organisation name and the actions included in your role before making a change.
Manage the range and members
- Review the approved garments, colours and branding.
- Submit or make catalogue changes through the action shown for your role.
- Add or invite members using the store's access process.
- Assign the correct role and ordering access.
- Remove or amend access when someone changes role or leaves.
Check the effect of a change before saving. Existing orders keep their recorded specification; updating a catalogue must not silently rewrite an accepted order.
Manage ordering controls
Confirm which ordering controls are configured for your store. Approvals, budgets, allowances, purchase-order references and organisation billing must each be agreed; they are not implied by the public Company Stores page.
For an approval queue, review the requested items and any budget or delivery information, then use the approve or return-for-change action. Read the confirmation to see what happened next.
Keep the store useful
Periodically review inactive members, unavailable garments and outdated artwork. Test significant range or workflow changes with an appropriate member account before communicating them widely.
For a setup change outside your role, contact the Company Store team with the store reference and requirement. Keep another organisation's data and artwork out of the request.
Keep a simple range register
Record each garment code, colour, branding position, approved artwork version and the roles allowed to order it. Also record who can request a change and who must approve it. This gives the team a clear reference when a garment is replaced or your organisation changes its logo.
Review changes in a safe order
- Identify the organisation and the affected range or members.
- Write down the current setting and the requested change.
- Check whether existing orders, price, delivery or artwork approval will be affected.
- Use your supplied administrator instructions for available controls; ask the team to make changes outside your access.
- Review the result as an appropriate member before telling everyone the change is live.
Example: replacing a discontinued polo
Confirm a substitute’s fit, colours, sizes and decoration suitability before adding it to the range. Tell wearers if they need to check a different size chart. Keep already accepted orders separate from the updated catalogue and ask the team about any affected orders.
Put this guide to work
Use these planning documents to prepare your details. They do not submit an order or create a store.
