A sample is most valuable when you know which question it is meant to answer. Fit, fabric, colour, decoration and a full fulfilment experience require different checks. Choose the sample that resolves the uncertainty, record the result and use that record when approving the main order.
Choose the right kind of sample
A plain garment sample helps you check the selected style’s fit, fabric, colour and construction. A decorated sample also lets you inspect your artwork on the garment. A digital mockup helps with layout, but it cannot demonstrate the physical feel or texture of the finished clothing.
Plain and decorated samples are paid options. Ask for the specific sample price and timing before ordering. Plain samples do not earn a credit against a later order under the current sample policy. Decorated samples can qualify under the conditions explained below and in the maintained Help guide.
| What you need to check | Useful evidence |
|---|---|
| Layout and wording | The current digital proof with recorded dimensions |
| Fit and fabric | The exact plain garment sample |
| Your finished branding | A sample decorated with the intended design |
| An end-to-end brand experience | An agreed fulfilment test order and its parcel |
Inspect and record the result
Check the garment reference, colour, size and decoration against the specification. Look at logo proportions, lettering and positions at normal viewing distance as well as close up. If fit is the question, try the garment with the usual layers and movements required for its intended use.
Write down what you are approving and what still needs changing. Keep the sample order reference and the artwork/proof version. A message saying “the sample is fine” can be ambiguous if you discussed several versions or only intended to confirm the fit.
Understand the 30-day credit window
A qualifying main order must be placed within 30 days of buying the decorated sample. The team assesses garment and design matching case by case. Contact Support with the sample reference and planned order before payment so eligibility and the deduction can be confirmed.
An order reaching an item quantity price break can qualify for the difference between the higher sample item price and the lower unit price in the qualifying order. This concerns the sample garment and decoration; separately charged artwork or setup fees are excluded. It is not a blanket refund of every sampling cost.
A worked example of the full-credit rule
The current full-credit tiers are £300 or more of qualifying spend for a sample costing £16 or less, or £500 or more for a sample costing £29 or less, excluding VAT. Each design must meet its own threshold; spending across several designs cannot simply be pooled.
For example, one matching design has £310 of garment-and-decoration spend after other discounts but before sample credit, excluding VAT and delivery. A £15 sample garment and decoration falls within the £300/£16 tier. If the time and matching conditions are met, £15 can be deducted. Its own deduction does not remove its eligibility. Check the full sample guide for all exclusions and calculation rules.
Keep the repeat order specific
Use the approved garment reference, colour, artwork version, dimensions and positions when reordering. Tell the team what must match. A previous order number is helpful, but current availability and prices still need checking.
If the garment or design changes, review what the change affects. A similar replacement style may fit differently; a revised embroidery size may need further digitising. Confirm the new specification and any required proof before production. For recurring team orders, a Company Store can help keep the approved range organised.
- Decide what the sample needs to prove.
- Record the exact garment and approved artwork.
- Raise corrections before approving the main order.
- Ask for any sample-credit assessment before payment.
- Recheck availability, price and changed details when reordering.
